OCTATrax
Here at OCTA Contracts, our goal is to expeditiously negotiate and execute clinical trial contracts by continuing to build solid relationships with researchers and industrial sponsors. In order to meet this goal, it is extremely important to have ongoing lines of communication with each investigative team throughout the process so that all parties are aware of the challenges and circumstances facing each project. One major step we have taken to address this aim was the development of a comprehensive Access database/reporting system ("OCTATrax"). The OCTATrax database was created to provide contract specialists and research team members with an organized electronic system for tracking the activity and progress of contract negotiations and pre-award activities. This system captures all contract negotiation activity (including the stage of contract negotiation, what paperwork has been received or still needs to be submitted, and all communication between the Specialist and the investigative team, Sponsor and/or CRO).
OCTATrax serves 2 main purposes: (1.) To update and better organize our manual tracking system to an electronic system and (2) To aid in our communication with PIs (and their research staff) by generating Investigator reports. These reports will provide the research team with a comprehensive listing of the current status and negotiation activity of all the Principal Investigator's pending projects, including: the current status of the contract, highlights of documents needed to further execute the contract, potential 'hold ups' to execution, and a listing of all communication and activity between the contract specialist and sponsor and/or CRO.
Our plan is to e-mail reports to PIs on a weekly basis. If the investigator wishes more (or less) frequent status updates and/or if s/he would like additional administrative or clinical personnel in his/her place or added to this update e-mail, please let your contract specialist know by sending them an e-mail listing how often you would like to receive status reports (if not weekly) and a list of all persons to be included (including their e-mail address).
